Consider a merchant closing after sales, refunds, tips, and more than one tender type. Some payment activity reaches the bank later, while a correction occurs before settlement. Finance needs a clearing path that explains timing rather than forcing the POS close and bank deposit to appear identical.

Square can fit an integrated small-business stack. Lightspeed merits review for deeper retail or hospitality operations. Shopify POS belongs where Shopify-centered commerce governs products and orders. First choose the operational center, then demand evidence that its Xero workflow supports the finance design.

Decision criteria for settlement-aware posting

Define ownership for sales, tenders, merchant fees, tips, refunds, discounts, tax fields, gift value if relevant, customers, items, and settlements. Document source identifiers, account mappings, summary versus detail, posting dates, sync timing, duplicate prevention, error queues, permissions, retry rules, and reconciliation reports.

The existence of mapped tax fields does not prove sales-tax accuracy, and transferred entries do not prove correct accounting. Finance and qualified advisers remain responsible for policy, jurisdiction decisions, chart design, review, filing, and close.

Reproducible mini-check from sale to bank match

Use fictional products, accounts, and customers in supported test environments. Record separate tenders, a refund, a discount, a tip if appropriate, and a merchant-defined tax example. Cause one mapping failure, repair it, and retry while preserving the original source event.

Trace each result from POS identifier through connector evidence to Xero and a synthetic settlement. Confirm that repair neither duplicates a prior entry nor hides an excluded one. POS Platform Guide has not performed this configured sync.

Exception and verdict: the refund settles separately

Suppose the refund reaches the bank on a different timeline from the original sale and after the POS day closes. The workflow should retain their relationship while allowing settlement-based reconciliation without rewriting the original transaction date.

Choose Square, Lightspeed, or Shopify POS according to operational fit only when its exact Xero path produces a clear clearing-account and exception trail. Reject any integration that posts unexplained net totals or silently changes dates during retry.
