The best retail POS preserves a trustworthy explanation of each product, unit, order, return, payment, and adjustment. Shopify POS, Lightspeed, and Square represent Shopify-centered commerce, deeper inventory operations, and a broad small-business stack. The right shortlist leader depends on where the retailer wants product and inventory truth to live.
Choose an inventory operating model
Shopify POS may fit retailers whose online and store commerce should share the Shopify model. Lightspeed may fit businesses that need richer purchasing, receiving, transfers, counts, and multi-location control. Square may fit smaller stores that value approachable checkout and an integrated ecosystem over deeper inventory administration.
Define products, variants, identifiers, vendors, cost fields, locations, available and committed quantities, purchase orders, receiving, transfers, counts, adjustments, promotions, customers, orders, returns, exchanges, gift value, and reports. Mark which capabilities are in the proposed package and which depend on apps, connectors, or manual processes.
Scenario: the last variant crosses channels
A retailer has one unit of a popular size. It is transferred between stores while an online customer reserves it. A store associate then sells or returns the item during delayed synchronization. Customer service needs to resolve the promise, inventory operations need an event history, and finance needs the related order, payment, refund, and tax fields.
Shopify POS should show the commerce model handles physical-store exceptions. Lightspeed should show inventory depth remains usable by ordinary store staff. Square should show simplicity does not require unexplained quantity overrides. The buyer should identify whether the system distinguishes physical, available, committed, in-transit, and damaged states where those distinctions matter.
Run a retail workflow test
Build a synthetic catalog with duplicate-looking variants, two locations, an online channel where applicable, and a customer record. Receive partially, record damage, transfer a unit, reserve it, sell another item, return across locations, exchange a size, apply a promotion, count stock, and approve a discrepancy. Use approved payment test modes.
Delay one synchronization or integration, then export products, inventory events, orders, customers, payments, refunds, and tax fields. Give the package separately to merchandising, operations, and finance. Ask each team to reconstruct its portion without changing quantities to force agreement. This publication has not run the test.
Add a migration sample with reused item numbers, duplicate customer records, discontinued variants, active gift value where applicable, and returns that remain possible after cutover. Require rejected-row reporting and correction ownership. Then retire a product while preserving historical orders. Retail fit includes the ability to introduce and remove assortment without losing the evidence behind earlier transactions.
Edge case: a tax feature settles the obligation
Retail sales-tax obligations depend on facts such as nexus, sourcing, product taxability, exemptions, registration, filing, and reconciliation. The Supreme Court's Wayfair decision and Streamlined Sales Tax resources inform parts of that landscape; a POS setting does not determine the retailer's complete position. Qualified owners must establish the policy and validate the configured result.
Payment and device features likewise do not establish PCI DSS compliance. Map merchant, provider, software, device, network, and validation responsibilities for the actual deployment. Ecommerce and store channels may introduce different boundaries even when they share a product catalog.
Retail criteria and conclusion
Score product governance, variant usability, receiving, transfers, reservations, counts, returns, exchanges, promotions, roles, offline behavior, channel synchronization, payment reconciliation, tax-field exports, support, migration, and exit. Weight event lineage above a dashboard total that cannot be explained.
Choose Shopify POS when Shopify-native commerce is the clearest source, Lightspeed when operational inventory depth earns its administration, or Square when a simpler integrated stack fits. Require a last-unit conflict, cross-location return, discrepancy approval, backup-admin change, and usable export before selecting.
