Square and Shopify POS should be compared by commerce architecture, not register appearance. Square is the local-business integrated-stack hypothesis. Shopify POS is the Shopify-centered omnichannel hypothesis. This comparison applies published criteria and does not claim a hands-on test.
Buyer scenario: online inventory returns to the store
Imagine an apparel retailer with one storefront and growing online sales. A customer buys two variants online, returns one in store, exchanges another, and uses a channel-specific promotion. Inventory, customer history, tender, tax fields, and finance need a coherent result.
Square deserves emphasis when in-person operations and a broad small-business ecosystem are primary. Shopify POS deserves emphasis when Shopify already or deliberately will own online and store commerce. The buyer should define which system owns products, variants, customers, orders, locations, inventory, promotions, returns, payments, and archives.
Decision criteria: compare cross-channel ownership
Evaluate catalog governance, variant identifiers, stock timing, reservations, pickup or fulfillment, customer matching, online-to-store returns, exchanges, gift value, promotions, staff roles, devices, offline behavior, payment and refund states, reports, integrations, and exports.
Neither platform makes the merchant PCI DSS compliant. Use PCI SSC resources to map provider, merchant, device, software, network, and validation responsibilities. Sales-tax features also do not prove correct treatment; the merchant and advisers own nexus, product taxability, sourcing, exemptions, filing, and reconciliation.
Reproducible evaluation plan
Build a synthetic catalog with variants and two locations. Create an online order, reserve the last unit, sell in store, process a cross-channel return and exchange, correct a customer, and export the results. Use approved payment test modes.
Delay synchronization and interrupt store connectivity during one step. Score overselling, duplicate customers, return traceability, payment identifiers, inventory timing, tax-field lineage, and accounting export. This test plan was not executed here.
Add a migration and governance comparison. Import a synthetic catalog with duplicate variants, two customer records for one person, active gift value if relevant, and open online or store orders. Ask each vendor to show rejected items, merge or correction paths, and the cutover authority for products and inventory. Then change a product, promotion, and location permission after launch. Have a backup administrator prove which change reached each channel and how it is rolled back. Export products, customers, orders, payments, refunds, and inventory history to test exit. This reveals whether Square's broader local-business stack or Shopify POS's omnichannel model creates the more maintainable source of truth.
Edge case: both channels sell the final unit
Suppose an online checkout and store sale claim the same last unit while state is delayed. Ask how each system commits inventory, surfaces the conflict, communicates with the customer, and handles cancellation, substitution, payment, and reporting.
Square must show local simplicity can support the intended online overlap. Shopify POS must show omnichannel ownership remains recoverable under store interruption. Preserve both event histories rather than silently correcting stock.
Model a location closing while returns, pickup orders, staff, and stock remain. Ask how each architecture reassigns obligations and preserves reports without exposing unrelated data. Omnichannel design should handle contraction as well as expansion.
Ask finance to reconcile the synthetic online sale, store sale, return, exchange, refund, and tax fields from exported identifiers. The preferred commerce center should make cross-channel operations intelligible outside the interface and preserve a clean source for accounting review.
Conclusion: choose the commerce center
Choose Square when local-business operations are central and online overlap is manageable. Choose Shopify POS when Shopify-native omnichannel commerce justifies the shared model. Let the last-unit and cross-channel return decide which architecture staff can operate. Document PCI DSS duties, tax ownership, exports, contracts, and exit separately.
