The best mobile POS is a recoverable field kit, not merely a reader that pairs during a sales demonstration. Square, PayPal Zettle, and Helcim represent a broad merchant ecosystem, focused PayPal-connected selling, and a payment-economics-led option. Compare devices, accounts, connectivity, receipts, support, and records as one traveling system.
Inventory the complete mobile selling kit
Square may fit a seller that expects broader catalog, customer, staff, and business workflows. PayPal Zettle may fit a small operation whose central need remains straightforward mobile checkout. Helcim may fit when the merchant's payment mix and dated proposal economics lead while the offered POS scope is sufficient.
List phones or tablets, readers, chargers, cables, power banks, stands, receipt method, cellular and Wi-Fi plans, spare equipment, staff accounts, catalog access, refund permissions, and end-of-day exports. Confirm device compatibility and behavior from current vendor documentation for the proposed setup. One owner's personal phone and credentials are not a continuity plan.
Scenario: an event loses power and connection
A seller arrives at a crowded outdoor event with two workers. Connectivity becomes intermittent, one device loses power, a customer sees uncertain payment status, cash sales continue, and a refund is requested after the team leaves. The owner is unavailable when the backup must retrieve the receipt and close records.
Square should show its wider stack improves recovery rather than adding screens. PayPal Zettle should show focused simplicity survives device and account disruption. Helcim should show its payments-led model supports the field workflow and usable reconciliation. Any offline or deferred behavior must be verified for the exact configuration and understood before staff rely on it.
Reproduce an event-day evaluation
Create a synthetic catalog with variants, discounts, tax fields, and a limited quantity. In approved test modes, run success, decline, cash, corrected basket, partial refund, and receipt delivery. Interrupt connectivity, move between networks, deplete a test device's power, pair or replace hardware, and hand control to a backup seller.
After reconnection, trace transaction state and guard against duplicate action. Export orders, card payments, cash, refunds, tax fields, and settlement-related records. Have a bookkeeper reconcile the event without the owner's portal session. Record setup, recovery, and close steps. This publication has not performed the field test.
Rehearse travel and storage as well. Pack the kit, verify charge state, transport it, assemble it from labels, and secure it after close. Rotate the staff member holding each device and confirm lost-device revocation from a separate account. Record environmental limits relevant to the business. Portability is useful only when custody and recovery remain deliberate outside a fixed counter.
Edge case: offline language is overread
“Offline” can describe different capabilities, limitations, risks, and recovery paths. Buyers must verify which tenders and devices continue, how long deferred state persists, what staff see, who bears risk, and how later approval or failure is handled. Do not infer a guarantee from a general product label.
Payment acceptance also does not prove PCI DSS compliance. Use PCI SSC materials to map responsibilities across merchant staff, provider, software, reader, phone or tablet, network, and validation. Sales-tax treatment at event locations remains a separate merchant and adviser decision; a stored rate is not proof of the obligation.
Mobile POS criteria and conclusion
Score setup time, portability, compatibility, battery strategy, network recovery, payment-state clarity, catalog speed, receipts, refunds, staff access, device loss, support, reconciliation, contract terms, exports, and growth. Penalize reliance on personal credentials or undocumented manual fixes.
Choose Square for justified ecosystem breadth, PayPal Zettle for a focused operation, or Helcim when verified economics and POS fit lead. The winner should let a backup assemble the kit, sell safely, recover uncertain state, close the event, and retrieve records without the original owner.
